WhatsApp Business Multiple Users: Limits and the Team Fix — Chatmizer guide

The short answer

WhatsApp Business multiple users works in the app only as linked devices: one phone plus up to four companion devices on the same number, with everyone seeing every chat and no way to assign one. The primary phone must be opened at least every 14 days or companions log out. Teams that need assignment, named owners or more seats move to the WhatsApp Business API with a shared inbox.

It usually starts with one phone on the counter and one person answering. Then the business grows, a second person joins, and the question becomes: how do two, three or five people answer the same WhatsApp number without stepping on each other? The free app can stretch further than people think, and stops at a very specific point.

How WhatsApp Business multiple users works in the app

WhatsApp's own help center describes the model: one primary phone, and up to four linked devices. Linked devices can be WhatsApp Web, the desktop app, a tablet, or another phone in companion mode. They keep working even when the primary phone is offline.

The 14-day rule most teams discover too late

WhatsApp's help center says linked devices may be logged out if the primary phone isn't used for more than 14 days. For a team that keeps the original phone in a drawer, this is the classic Monday morning surprise: every screen logged out, every agent scanning QR codes. Put the primary phone in someone's weekly routine.

Where the app breaks for a team

  • Two people answer the same customer, with different prices, because nobody can see who is typing.
  • Nobody answers, because everyone assumed someone else had it.
  • No accountability: when a customer complains, you can't tell who said what.
  • A sixth person can't join. Five screens is the ceiling.
  • Automation stops at greeting and away messages. Anything smarter needs the API.

Coexistence: the app and the API on one number

Meta now lets a business keep using the WhatsApp Business app while the same number is connected to the Cloud API, through a provider that supports it. Meta's documentation lists the trade-offs: one-to-one chats from the last six months can sync, group chats don't, existing linked devices are unlinked during onboarding (you can relink supported ones), throughput is fixed at 20 messages per second, and messages sent from the app stay free while API messages follow API pricing. It's a gentle bridge, not a requirement.

When WhatsApp Business multiple users needs the API

Move when any of these is true: more than five people need access; you need each chat to have one owner; you want an AI agent or flows to answer first; or you need to see response times. The API removes the device ceiling, because people log in to an inbox, not to the phone. The full comparison is in WhatsApp Business app vs API.

Chatmizer's shared inbox puts WhatsApp, Instagram and Messenger in one place for the whole team: each chat has an owner, an AI agent can answer first, and anyone can step in without picking up a phone.

A setup that works for a growing team

  1. 1Decide who owns which conversations: new customers, existing orders, complaints.
  2. 2Write the five answers everyone gives (prices, delivery, hours, returns, location) once, so replies match.
  3. 3Agree on a response-time promise, for example within 15 minutes during opening hours.
  4. 4Let automation take the first reply out of hours, and hand over to a person in the morning.
  5. 5Review a sample of chats weekly to keep tone and prices consistent.

Frequently asked questions

How many people can use one WhatsApp Business number?

In the app, five screens at most: the primary phone plus up to four linked devices. Through the WhatsApp Business API with a shared inbox, the number of teammates depends on your platform plan, not on devices.

Why did WhatsApp Web log out on all our computers?

Most often because the primary phone wasn't opened for over 14 days. WhatsApp logs linked devices out after that. Open the main phone at least weekly.

Can I assign WhatsApp chats to different employees?

Not in the WhatsApp Business app. Assignment needs the WhatsApp Business API with a team inbox that supports it.

Can I keep the WhatsApp Business app after moving to the API?

With Coexistence, through a provider that supports it, yes: the app and the API can run on the same number, with limits on group chats, history and throughput.
