The short answer
A WhatsApp message template gets approved when it is clear about who is sending, why, and what happens next, uses variables like {{1}} only for real details (name, date, order number), and sits in the right category: utility for updates the customer asked for, marketing for offers. Below are examples for each case you can adapt.
Templates are the only way to message a customer first on the WhatsApp Business Platform, so getting them approved — and getting them read — matters. Here are examples grouped by job, written the way customers actually like to read them: short, specific and human.
The rules that get a WhatsApp template approved
- Pick the honest category. A reminder for a booking the customer made is utility; anything that sells is marketing. Mis-labelled templates get re-categorised or rejected.
- Variables hold details, not the message. “Hi {{1}}, your table for {{2}} is confirmed for {{3}}” is fine; a template that is just “{{1}}” is not.
- Don't start or end with a variable, and don't put two variables side by side.
- Say who you are. The customer may not have your number saved.
- Give a next step: a button, a reply option or a clear instruction.
Appointment reminders (utility)
- Hi {{1}}, this is a reminder from {{2}}: your appointment is tomorrow, {{3}}, at {{4}}. Reply 1 to confirm or 2 to reschedule.
- Hello {{1}}, your {{2}} with Dr. {{3}} is today at {{4}}. Please arrive 10 minutes early. Need to change it? Just reply here.
- Hi {{1}}, we have you booked for {{2}} on {{3}}. Can't make it? Tap Reschedule and pick a new time.
Orders and delivery (utility)
- Thanks {{1}}! Your order {{2}} is confirmed. Total: {{3}}. We'll message you when it leaves the kitchen.
- Good news {{1}} — order {{2}} is on its way and should arrive in about {{3}} minutes.
- Hi {{1}}, your order {{2}} was delivered. Was everything right? Reply here if anything was missing.
- Hi {{1}}, your order {{2}} is ready for pickup at {{3}}. We're open until {{4}}.
Payments and account updates (utility)
- Hi {{1}}, we received your payment of {{2}} for invoice {{3}}. Thank you!
- Hi {{1}}, a reminder that invoice {{2}} for {{3}} is due on {{4}}. Reply if you have any questions.
- Hello {{1}}, your subscription to {{2}} renews on {{3}}. No action needed.
Follow-ups after a conversation (utility)
- Hi {{1}}, you asked us about {{2}} yesterday. It's back in stock — want us to reserve one for you?
- Hello {{1}}, here's the quote you asked for: {{2}}. It's valid until {{3}}. Reply YES to go ahead.
- Hi {{1}}, thanks for visiting {{2}} today. How did we do? Reply with a number from 1 to 5.
Offers and re-engagement (marketing)
Marketing templates only go to customers who agreed to receive them, and they cost more than utility ones (see WhatsApp Business API pricing). They should feel personal rather than mass-produced:
- Hi {{1}}, it's been a while! Your next {{2}} at {{3}} is 15% off this week. Want to book a time?
- {{1}}, our new menu is here 🍽️ — order this weekend and delivery is on us. Reply MENU to see it.
- Hi {{1}}, early access for our regulars: the {{2}} sale starts tomorrow. Reply to reserve your size.
- Hi {{1}}, happy birthday from everyone at {{2}}! 🎉 Your gift: a free {{3}} on your next visit this month.
Sending templates without copy and paste
Templates pay off when they go out automatically: a reminder the day before every booking, an update when an order changes status. That is where a WhatsApp chatbot platform earns its keep — the template fires on the event, and the reply lands in your shared inbox.
In Chatmizer, Booking Zone sends reminders for real bookings and Orderista sends order updates — through templates you approve once.

How long does WhatsApp template approval take?
Often minutes, sometimes up to a day. Clear wording, the right category and real variables make approval faster.
Why was my WhatsApp template rejected?
Common reasons: wrong category, a variable at the start or end, vague wording, or content that breaks WhatsApp's commerce policy. Fix the reason Meta gives and resubmit.
Can I send a template to anyone?
Only to people who gave you their number and agreed to hear from you on WhatsApp. Marketing templates especially need clear opt-in.
Can templates have buttons?
Yes. Templates can include quick-reply buttons and call-to-action buttons such as a link or a phone number.
